Square Sync and Troubleshooting

Review outgoing catalog sync, incoming Square events, channel choices, and connection checks.

Owners, admins, or managers who manage the Square integration

Use the installed Square up app's Settings to review automatic catalog sync, incoming Square events, and channel choices. Check the organisation and Square merchant before changing settings.

Open Sync Settings

Open App Store > My Installed Apps.

Find Square up and click Settings.

Wait for Sync Settings to load, then review the saved choices.

If the settings fail to load, read the error and use Try Again.

Catalog Auto-Sync and Item Types

Entity Auto-Sync controls which Crunch changes are automatically sent to Square:

  • Items and variations
  • Menus
  • Categories
  • Taxes
  • Modifier Lists

Syncable Item Types lets you choose Stock, Menu, Hybrid, or Service. The defaults select Menu and Hybrid. Selecting no item types prevents automatic item sync, even if the Items toggle is enabled.

Incoming Square Events

Square Webhook Events controls processing of event groups received from Square:

  • Sales Orders for completed orders sent to Crunch from payment events
  • Catalog for Square catalog changes
  • Team Members for Square staff events
  • Labor Timecards for timecard events

These incoming-event choices are separate from Entity Auto-Sync, which controls sending Crunch catalog changes to Square.

Channel Sync

Channel Sync controls Square channels such as Square Online sites or location channels:

  • Enable channel syncing allows channel edits and writes. When off, item channels cannot be edited.
  • Active channels limits which channels can be assigned to items. Leaving all unchecked allows any channel.
  • Default channels for new items applies to newly synced items that have no channels yet.
  • Push changes immediately controls whether channel changes are sent right away or on the next sync.

The channel list is loaded from Square. If it is empty or reports an error, check the connection before making assumptions about channel availability.

Save Your Choices

Click Save Settings after reviewing your changes and wait for the success message. Reset to Defaults changes the form to its default selections; you still need to save to apply those choices.

Warning

Automatic sync and channel changes can affect your live Square catalog. Confirm the records and channels you want to update before saving.

Check a Sync Problem

Start with these checks:

  • Confirm Square up shows Active in My Installed Apps.
  • Open Open Widget and confirm Square itself is Connected to the expected merchant.
  • Confirm the relevant outgoing entity toggle and item type are selected, or the relevant incoming event group is enabled.
  • If you are onboarding an existing Square business, confirm the seed finished and review unmatched links before publishing.
  • Check channel syncing and channel selections if the problem concerns where an item is available.

Manual item sync is also available from the item detail page, but review the item and connection before sending it to Square. If the checks do not resolve the problem, contact support with the affected record, organisation, and error message.
