Connect and Publish Square During Onboarding

Connect Square, seed Crunch from an existing catalog, review unmatched records, and publish only after readiness checks.

Users connecting Square as part of onboarding

POS Connect, Catalog Import, and POS Publish are separate actions. If your business already uses Square and you are keeping it, connect Square and seed Crunch from that catalog before adding manual items or spreadsheet imports.

Check that you are setting up the correct organisation. You need permission to manage its setup, and access to the Square account you intend to connect.

Connect Square

Open POS Connect in the onboarding workspace.

Click Connect Square and complete Square's authorisation flow.

Return to onboarding and confirm that Square shows as connected.

Alex can guide you through setup, but you complete Square authorisation yourself. Connecting does not import the catalog or publish changes automatically.

Seed Crunch from an Existing Square Catalog

For an Already running business keeping Square, the next step is Catalog Import. This imports existing Square locations, menus, taxes, modifier lists, and sellable items as the starting point in Crunch.

Open Catalog Import, then Import from Square POS if the Square panel is not already open.

Review the seed explanation and click Import existing Square data when you are ready to import it into Crunch.

Wait for Seed complete and review the created, linked, and updated counts.

Review any Unmatched Square sections. For each record that corresponds to an existing Crunch record, choose the matching record in Link to a Crunch entity.

Click Save 1 link or Save [number] links, depending on your selections, to save your choices.

Only link records that represent the same item, menu, tax, modifier list, or location. Matching names alone may not be enough. The link selectors appear where both Square and Crunch have unmatched records of that type.

After the seed, complete recipes, costs, inventory, and any missing records in Crunch. Use manual entry or spreadsheets for additional catalog data and review those drafts before applying them. Revisit the links if you add Crunch records that already exist in Square.

The Square seed imports records into Crunch when you start it; it is separate from the spreadsheet draft approval flow. Review the seed summary and links before moving on.

If a seed or mapping error appears, read the message before retrying. Retry overview reloads the mapping view; Re-run Square seed requests the import again.

Starting Fresh

If you are Starting fresh, build your items, recipes, menus, and modifiers in Crunch, then connect Square and publish when the setup is ready. The existing-Square seed path is intended to preserve links to the catalog you already operate.

Review Readiness Before Publishing

Open POS Publish after your catalog changes are applied. Crunch checks recipe, cost, inventory, and menu coverage and lists blockers. Publish to Square is available only when Square is connected and the publish checks report Ready to publish.

For a workspace seeded from Square, final publish is intended to apply linked and newly created Crunch changes. For other setups, the publish panel warns that publishing overwrites the current Square catalog. Review the message shown for your workspace before continuing.

Warning

Publishing changes Square's catalog. Review your Crunch data, approved drafts, and Square links before clicking Publish to Square. Keep the workspace open to check whether publishing finishes or reports a failure.

Continue Setup Later

You can return from the dashboard using Continue Setup or View Progress while onboarding remains incomplete.
