Understand Stock Take Entry Initialization

Creating a Stock Take period prepares the entries your team will count. Each entry belongs to one item variation at one included location.

Which Items Appear

Crunch includes stock and hybrid items with inventory records at the selected locations. It excludes menu and service items from inventory counting.

A variation with inventory at Location A can have an entry there. If it has no inventory record at Location B, it will not get a line there simply because Location B is included in the period.

What the Entry Records

The initial entry captures the system free, paid and total quantities, together with unit amount and unit of measure. These provide the baseline against which the physical count is compared.

Assigned Storage Areas are snapshotted on the entry too. Set up item assignments before creating a new period. Without assigned areas, the item uses one counted total.

If an Expected Item Is Missing

Check that:

  • the correct location is included
  • the item is stock or hybrid
  • the variation has inventory at that location
  • the item has not been deleted or changed to a non-inventory type

The entry preparation logic can mark deleted or non-inventory items' lines as deleted and restore eligible lines rather than duplicating them when preparation runs again. Do not assume every catalog edit instantly rewrites an existing period or its area snapshot.
